Use email forwarding in Zoho Mail

You can automatically forward all the incoming emails to another email account of your choice. There is also an option to forward only specific emails, based on certain conditions by using filter-based forwarding feature.

If your Organization use Zoho's Email Hosting, the Administrator can enable Auto Email Forwarding from one account to another internal account without any verification process involved.

Enable Email forwarding

  1. Go to Zoho Mail's Settings by clicking the gear icon in the upper right.
  2. In Mail Settings tab, under Access old version for, select Email forwarding and POP/IMAP.
  3. In the Email Forwarding section, Click Add Email Address.
  4. Specify the email address to which you want to forward your emails. Click Add.
  5. A confirmation email will be sent to the added email address. Go to that email inbox and click the verification link.
  6. You can choose whether you want to delete Zoho Mails copy after the emails are forwarded.
    • Select No to leave a copy of the forwarded email in Zoho.
    • Select Yes to delete the email in Zoho after forwarding to the specified email address.
  7. Click Save.

Enable Email Forwarding within Organization accounts for Administrators

  1. Go to Control Panel > Mail Accounts.
  2. Select the account for which you want to enable Email Forwarding.
  3. Click Add Email Forwarding and provide another organization account as the destination account.

Note about Email forwarding:

  • You cannot enable Email Forwarding for a Group. 
  • For paid accounts, you cannot choose more than 3 accounts as destinations for the forwarded emails.
  • Filter-based forwarding cannot be enabled to the same email address which has already been added for Email Forwarding. 
  • If emails fail to be forwarded ten times consecutively, email forwarding will be automatically disabled. 
  • If the received email is already an auto-forwarded email, it will not be forwarded again to avoid looping.

Disable/Delete Email forwarding

  1. Go to Zoho Mail's Settings by clicking the gear icon in the upper right.
  2. In Mail Settings tab, under Access old version for, select Email forwarding and POP/IMAP.
  3. Select Disable to disable Email forwarding to the corresponding email address.

To re-enable Email forwarding, you can just click Enable, without having to go through the entire process again. If you want to remove Email forwarding to that email address permanently, choose Delete.

Filter-based Email orwarding

You can forward only some emails based on certain conditions, using the filter-based forwarding feature. You can set up conditions based on senders or subjects to forward emails to another person/account. This feature is particularly useful, when you want to forward only specific emails based on specified set of rules or conditions.

  1. Go to Zoho Mail's Settings by clicking the gear icon in the upper right.
  2. In Mail Settings tab, under Mail Organisation, select Filters.
  3. Specify the conditions or rules for the filter.
  4. In Action field, select Forward Mail To to and enter the destination email address in the next field.
  5. You may need to verify the email address. Go to that email inbox and click the verification link.
  6. Click Save to save the settings.

Any incoming emails that match the specified conditions will be forwarded to the destination email address.
